Director of Administration and Operations

The Director oversees the day-to-day administrative and management functions of the Firm and contributes significantly to Management Operations such as strategic and tactical planning, risk management, quality control, organizational development, Firm planning processes and general management functions. The Director will be charged with setting and achieving Firm administrative goals and objectives, including improved operating efficiencies and enhanced profitability.

The ideal candidate has a minimum of ten years experience managing in a professional services firm or corporate office environment, has strong business acumen and people skills, and brings a “Firm First” approach to this challenging position.

Duties and Responsibilities: The Director administers Firm policies and procedures and oversees and directs Firm management functions such as Human Resources, Marketing, Facilities Management, Learning & Development, and Office Support. Works in conjunction with Firm’s Chief Information Officer and Chief Financial Officer on technology, finance and budgeting matters.

Human Resources: Works with the HR Manager and team to recruit, hire, train, manage and evaluate all staff; including salary administration, benefits administration, workers’ compensation, personnel data systems, job design and resource allocation. Payroll, insurance programs (commercial liability and employee health), 401(k) retirement plan. Create a firm environment, programs and benefits that foster retention and connection.

Learning & Development: Sets priorities, goals and initiatives for L&D Manager to develop and implement. CPE (Continuing Professional Education) required to maintain licenses, career track and development, technical skills and systems/software training.  Accounting work product quality control, professional standards, substantive practice systems and other practice management functions.

Marketing and Business Development: Works with the Marketing Manager to recommend, develop, implement and monitor Firm, practice group and individual Partner’s marketing and business development plans and initiatives. Client profitability analysis, business development, public relations. Client relations to enhance the Firm’s image and visibility in desired markets.

Facilities Management: Oversees the Building Manager to maintain and optimize the Firm’s physical facilities, including office furnishings and equipment.  Work with landlords, contractors, architects, decorators, and other vendors and suppliers as needed for space planning and design, lease negotiations, equipment acquisition and vendor selection and inventory/supplies control.

Office Support and Services: In conjunction with the Word Processing Manager, ensures appropriate services are provided in Word Processing Department, Reception/Mail and other office services, etc.  Oversight of Firm’s records management/retention and disaster preparedness/recovery plan.

Management and Governance: The Director attends Firm Executive Committee meetings and creates agenda and maintains minutes of all Partner and Executive Committee meetings. Ensures implementation of decisions made by the Managing Partner and Executive Committee. Drives the strategic and tactical planning process, and works with the Managing Partner and Executive Committee to develop and operate the business and to position the firm for the future.

Qualifications: Minimum of 10 years experience in management and administration in a professional services firm or corporate environment. Strong financial skills and business acumen required. Effective organizational, communications and interpersonal skills required. “Firm first” attitude and mindset. Excellent problem-solver and team player. Must work effectively with other motivated professionals in a challenging, fast-paced environment.

Reporting Relationships: Reports to the Firm’s Managing Partner, but works regularly with various members of the Executive Committee. Supervises five management-level direct reports, and supports a total staff of 200 employees.  Works in conjunction with Firm’s CIO and CFO.

Compensation and Benefits will be commensurate with experience and credentials.
