Senior Administrative Assistant/ Paraprofessional

Job Description:
  • Project management and main point of contact related to SEC and other engagements.
  • Prepare fee declarations for US District court, proof tax returns, assemble tax returns, dispatch tax returns, update client/attorney and other stakeholder contact information. 
  • Proof EFTPS payments and communicate to team regarding funds available for each client.
  • Review and finalize client data sets regarding information return reporting and withholding, communicate required withholding amounts to clients, check for receipt in client trust account of withheld amounts. 
  • Review images of W-8 and W-9 forms for compliance with requirements and enter related data into payment file data sets provided by client.
  • Perform word processing for tax opinions, tax related client representation and other professional letters. 
  • Talk with state tax agencies regarding set up of new accounts for QSF payments.
  • Download and file bank and financial statements received from the SEC and from client bankers.
  • Retrieve mail, log client trust account checks, calendar notices and other mail requiring a response. 
  • Follow up with banks for missing statements in relation to estimated tax payment deadlines.
  • Publish work product to client through the client portal in GoFileRoom.
  • Field calls from clerks of courts, regulators, respondents, and other clients regarding status of consolidated financial accounting work product. 
  • Monitor and communicate about due dates in FirmFlow. 
  • Collaborate with team members regarding Monthly/Quarterly Payroll liabilities for clients
Job Qualifications:
  • 3+ years of experience in finance, tax and/or legal environment preferred.
  • BA or BS degree preferred, but not required.
  • Excellent client relations, professional communication, and internal customer service skills.
  • Experience with information return reporting data sets and compliance.
  • Experience with electronic records management.
  • Excellent Microsoft Office skills with a focus on complex documents in Word and Excel.
  • Comfortable working as part of an integrated team, with courts and public agencies.
  • Experience with GoFileRoom, Firmflow, Ultra Tax, Practice and other accounting industry software.
